How to Deliver Wedding Photos to Clients: A 2026 Workflow

Shooting is three days. Editing is three weeks. Then delivery quietly eats another two — four hundred guests, four hundred small requests. Here is the workflow that stops the chase before it starts.

The delivery stage nobody budgets for

Shooting is three days. Editing is three weeks. Then comes the part that quietly eats another two weeks: sending the gallery, chasing people who lost the link, and answering "can you send me the ones with my family" for the fourth time.

For most Indian wedding photographers, delivery is not a technical problem — it is an administrative one that scales linearly with guest count. Four hundred guests means four hundred small requests.

The four delivery stages

1. Prepare the gallery

Create one album per function rather than one for the wedding. Mehndi, haldi, sangeet, pheras and reception have different guests and different photography, and separating them means each guest searches only what they attended.

2. Upload at full resolution

Upload in bulk and let the platform process in the background. This is where a platform priced by photo count becomes painful — an Indian wedding runs 2,800–7,400 edited photos, and it is entirely possible to exceed a tier you chose two months ago.

3. Publish and share

Publishing makes the album live. Two distribution channels matter: a QR code printed for the venue, and a private link for guests who have already gone home. For a wedding that has not yet happened, the QR goes on table cards; for one already delivered, the link goes out over WhatsApp.

4. Notify and archive

One notification action reaches every registered guest by WhatsApp and email. Then, when the season ends, archive the finished album to cold storage rather than leaving it in hot storage or deleting it.

What good delivery actually looks like

StageWhat the client experiencesWhat it costs you
Link onlyOpens, scrolls, gives upRepeated support messages
Link + full albumStarts scrolling, rarely finishesSome support, low downloads
QR + guest selfie searchScans, sees own photos in secondsNear-zero support

The third row is the one worth aiming for. When each guest gets a private gallery of only their own photos, the follow-up conversation stops happening — not because you answered it faster, but because it never starts.

Pricing that does not punish a wedding season

PlanStoragePriceTypical coverage
Free1 GB₹0A test album or small shoot
Entry100 GB₹833.25/mo, billed yearlyOne large multi-function wedding
Mid500 GB₹1,166.58/moAbout half a season
Top1 TB₹1,666.58/moA full season with archives

Prices exclude 18% GST. Every plan includes the full feature set; only storage changes.

Cold storage is bundled equal to your hot allowance. That is the piece most photographers underestimate: by year two you have a dozen weddings online and no appetite for deleting any of them. Archiving solves that without a second subscription.

On selling downloads: if you charge guests for photos, set the album to pay-per-photo or pay-once. Snaptide keeps 25% and pays you 75%. On a 400-guest wedding, even modest uptake often covers the storage cost for the year.

Frequently asked questions

How should I deliver wedding photos to clients?
One album per function, uploaded at full resolution, shared via QR code at the venue and a private link afterwards, with guests finding their own photos by selfie search rather than scrolling the full gallery. Notify everyone in one WhatsApp action, then archive when the season ends.
One album or one per function?
One per function. Guests attend different events, so a single wedding-wide gallery forces everyone through functions they missed — and face matching is faster and more accurate against a smaller photo set.
How much storage does a wedding need?
42–110 GB of edited photos for a multi-function wedding before video; 80–200 GB for three-function weddings with video. A 100 GB plan covers one large wedding comfortably.
Do guests need an app?
No. They scan the QR or open the link, register once, consent to matching, and upload a selfie — all in the browser.
What if a guest cannot find their photos?
Usually a selfie quality issue. Ask for a clearer, front-facing, well-lit photo. If they are using an iPhone, HEIC format is the most common rejection cause — a screenshot of the selfie fixes it.
Can I white-label the gallery?
Yes, on every plan, with custom album domains and SMTP email through your own address.
Can I sell photos to guests?
Yes — pay-per-photo, pay-once-for-the-album, or free. You keep 75%.
How long can I keep galleries online?
Finished weddings can be archived to bundled cold storage rather than deleted or left consuming hot capacity.
